Staff Hub is Premier Irish Homes's internal tool for staff accommodation: properties, bed bookings, cleaning, inspection reports and check-out reports. This page explains what information it uses and why.
Who is responsible
Premier Irish Homes is responsible for the information in Staff Hub (the "data controller"). Questions or requests: irishhomespropertyservices@gmail.com.
What information Staff Hub uses
- Company staff who sign in: your Google account email address, only to check that you are allowed in. Staff Hub does not see your Google password, and does not read your emails, contacts or files.
- People booked into a bed: first name and surname, the property, bedroom, bed and dates, and the job number.
- Managers, operators and cleaners: name and work email address, to send the emails Staff Hub sends (bookings, cleaning, reminders and reports).
- Reports: inspection, cleaning and check-out answers and notes, and any damage reported, with the name of the person who completed them.
- Properties: address, Eircode and key-holder details. Eircodes are looked up with Google Maps to show distances to job sites.
Why
To house staff safely, keep beds from being double-booked, plan cleaning, keep the houses inspected and in good repair, and follow up damage. The legal basis is Premier Irish Homes's legitimate interest in running staff accommodation and its duties as an employer.
Where it is kept and who can see it
- The information is kept in Premier Irish Homes's Google Sheet and Google account. The app itself is hosted in the European Union. Google and the hosting provider act as processors for Premier Irish Homes. Staff sign in through their own Microsoft or Google account; those companies only confirm who you are.
- Only company staff who sign in can see the dashboard. People leaving a house only see the check-out report for their own bed, and cleaners only see the houses they clean.
- Staff Hub does not sell or share information with anyone else, and does not use it for advertising.
Cookies
Staff Hub uses one cookie to keep company staff signed in (and a short-lived one during sign-in). It does not use tracking or advertising cookies.
How long it is kept
Bookings, reports and emails sent are kept while they are needed to manage the properties and for Premier Irish Homes's normal record-keeping, and are then deleted.
Your rights
Under the GDPR you can ask to see, correct or delete your information, or object to how it is used. Contact irishhomespropertyservices@gmail.com. You can also complain to the Data Protection Commission (dataprotection.ie).
